Your contract is with Free to Be SHE™. A place is confirmed only when any application or suitability process has been completed, you have been offered and accepted a place, you have accepted these terms, and the cleared deposit has been received.
The booking is personal to the named participant. The retreat is educational and personal-development focused. It is not psychotherapy, psychiatric or medical treatment, crisis intervention, diagnosis, or a substitute for appropriate professional care.
The £3,950 price includes only the services expressly described in the final itinerary and booking confirmation. These are expected to include:
Flights are not included. Unless expressly confirmed in writing, the price also excludes travel to and from Fethiye bus station, additional accommodation, visas or entry permissions, passport costs, travel insurance, medical costs, personal expenses, optional activities, additional food or drinks, and private transfers outside the advertised group arrangements.
The total retreat price is £3,950 per participant. A deposit of £1,975 (50%) is payable when the booking is accepted. The remaining balance of £1,975 must be paid no later than 60 calendar days before the retreat start date.
The deposit secures a limited place and allows accommodation, catering, facilitation, transport and activity arrangements to be made. It is an advance payment, not an automatically non-refundable penalty. Any amount retained following cancellation will be calculated fairly under Section 8 by reference to services supplied and genuine unrecoverable loss.
If a booking is accepted 60 days or fewer before the retreat begins, the full £3,950 is due immediately unless a different arrangement is agreed in writing.
If the balance is not paid by the deadline, Free to Be SHE™ will contact you and allow a reasonable opportunity to resolve payment. If it remains unpaid, the booking may be treated as cancelled by you. Any amount retained or remaining due will still be assessed fairly under Section 8 and will not automatically equal the whole unpaid balance.
Please contact Free to Be SHE™ promptly if an unexpected difficulty affects payment. Any revised arrangement must be agreed in writing.
Different cancellation rules can apply to fixed-date accommodation, leisure and travel services, so the ordinary 14-day distance-selling cooling-off right may not apply to every part of this booking. Free to Be SHE™ will not state that a cooling-off right exists or has been waived unless that position has been legally confirmed for the final booking structure.
Any statutory cancellation right that does apply will be honoured in full. The final pre-contract information and booking confirmation will explain the applicable legal position before payment is taken.
You are responsible for booking and paying for your own flights and for all travel between your home, your chosen airport and Fethiye bus station. You should not book non-refundable travel until Free to Be SHE™ confirms that the retreat will proceed and advises that travel may be booked.
The included transfer is a return group transfer between Fethiye bus station and the retreat accommodation at the times notified before travel. You are responsible for arriving at the stated meeting point on time and for providing accurate arrival information by the requested deadline.
If a delay, cancellation or change to your independent travel causes you to miss the included transfer, Free to Be SHE™ will provide reasonable assistance where possible, but any replacement private transfer or additional accommodation will normally be arranged and paid for by you. You should claim insured losses from your travel insurer.
You must obtain comprehensive travel insurance as soon as your booking is confirmed and maintain it until you return home. The policy must be suitable for Turkey and cover the full itinerary, planned activities, medical treatment, emergency evacuation or repatriation, cancellation, curtailment, travel disruption, personal belongings and any relevant pre-existing medical conditions.
Free to Be SHE™ may ask for the insurer, policy number and emergency-assistance contact details. You remain responsible for understanding the policy exclusions and ensuring that the cover is adequate. Failure to obtain insurance does not transfer insured risks to Free to Be SHE™ or create an additional refund entitlement.
You may cancel at any time by emailing info@freetobeshe.com. Cancellation takes effect when clear written notice is received. The following scale is the maximum normally retained; Free to Be SHE™ will retain only the lower amount that fairly reflects its actual direct loss after taking reasonable steps to reduce that loss. Any stronger statutory right will take priority.

The calculation will consider: accommodation, catering, facilitator, venue, transport, treatment, activity and supplier costs already committed and not reasonably recoverable; services, preparation and materials already supplied; the time remaining before departure and whether the place can reasonably be resold; costs avoided, supplier refunds obtained, insurance recoveries relating to the same loss, and income received from a replacement participant; and any other direct loss caused by the cancellation, without charging twice for the same loss.
If the fair amount due is less than you have paid, the difference will be refunded. Free to Be SHE™ will provide a written explanation of the calculation.
You may ask to transfer the booking to another eligible woman. The replacement must complete any required suitability process, accept the contract and Participant Agreement, satisfy applicable passport, entry, insurance and health requirements, and be reasonably suitable for the group.
The request must be made as early as possible. You and the replacement may be responsible for reasonable, evidenced administration and supplier charges caused by the substitution, to the extent permitted by law. You remain responsible for the booking until the replacement has been accepted and all payment arrangements are confirmed.
Where serious illness, bereavement or another significant unexpected circumstance prevents travel, Free to Be SHE™ may offer one transfer to the next suitable retreat as an alternative to cancellation, subject to availability, supplier agreement and written confirmation.
A transfer is not automatic and does not remove any cash-refund right that applies by law. Fees already paid will be credited to the replacement retreat after deducting only genuine non-transferable supplier costs. Unless agreed otherwise, a transferred place cannot be transferred repeatedly or converted into credit for another service.
Serious illness, bereavement or another significant and unexpected event will be considered sensitively and individually. Depending on timing, supplier terms and what can be recovered, options may include substitution, transfer, partial refund or another fair arrangement. Reasonable supporting information may be requested. You should make an insurance claim for insured losses.
You are responsible for ensuring that your passport, visa or entry permission, personal circumstances and travel documents meet all current requirements for Turkey and any transit country. Requirements can change, and Free to Be SHE™ is not authorised to give definitive immigration advice.
You must check current Foreign, Commonwealth & Development Office travel advice and relevant official entry requirements before booking and again before travel. Tell Free to Be SHE™ promptly if an official restriction may affect your participation.
You must disclose information reasonably required to assess suitability, dietary or accessibility needs, and safe participation, and notify Free to Be SHE™ of material changes before departure. This does not require disclosure beyond what is reasonably relevant to the retreat.
You are responsible for seeking appropriate medical advice, bringing lawful medication in suitable quantities and checking rules for taking medication into Turkey. Participation in treatments, movement, breathwork, excursions or other activities is voluntary and may require separate consultation or consent.
Free to Be SHE™ will consider reasonable adjustments but cannot promise an adjustment that is unknown, unavailable at the destination, would fundamentally change the retreat, or cannot reasonably be made by the relevant supplier. Discuss requirements before booking wherever possible.
Accommodation type, occupancy and facilities will be as described in the booking confirmation, subject to reasonable equivalent changes. Participants must follow reasonable accommodation rules and are responsible for damage they deliberately or negligently cause, subject to evidence and applicable law.
Dietary information will be passed to relevant suppliers and reasonable efforts made to accommodate confirmed requirements. An allergen-free environment cannot be guaranteed unless expressly agreed in writing.
The final itinerary may depend on weather, safety, local conditions, supplier availability and group needs. Reasonable minor changes may be made to timings, teaching order, practitioners, drivers, meals, treatments, activities or excursions where necessary.
Participation is voluntary, but choosing not to use an included element does not normally create a separate refund. If an included service cannot be supplied, Free to Be SHE™ will consider a suitable alternative, price reduction or other remedy in accordance with the contract and applicable law.
Participants will be told of significant changes as soon as reasonably possible. If a change materially alters a main characteristic of the retreat, the remedies and choices required by applicable law will be offered. These may include accepting the change, accepting a suitable alternative, or cancelling with the appropriate refund.
Free to Be SHE™ will not require a participant to accept a materially different retreat.
Free to Be SHE™ may need to cancel or reschedule because of insufficient participant numbers, facilitator illness, supplier or accommodation failure, safety concerns, official advice or events outside reasonable control. Any minimum-number requirement and the latest cancellation date will be stated in the booking information before payment is taken.
If Free to Be SHE™ cancels the retreat, participants will receive the remedies required by applicable law. No participant will be required to accept credit or a replacement date instead of a cash refund where the law gives a right to a refund.
Do not book non-refundable flights or independent travel until advised that the retreat is confirmed. Responsibility for independently booked travel will depend on applicable law and the circumstances; comprehensive insurance remains essential.
Events such as natural disaster, wildfire, serious security incident, official travel restriction, epidemic, major transport disruption or other circumstances beyond reasonable control may affect the retreat. Free to Be SHE™ will follow the rights, duties, assistance obligations and refund rules that apply to the final legal structure of the booking.
No refund will normally be due where a participant does not travel, arrives late, misses part of the retreat, chooses not to use an included service, or leaves early for reasons not caused by Free to Be SHE™. Exceptional circumstances will be considered under Sections 10 and 11, and insured losses should be claimed from the participant's insurer.
This section does not remove statutory remedies where included services are not supplied as agreed, are not provided with reasonable care and skill, or where other mandatory travel rights apply.
Participants must respect confidentiality, privacy, consent, personal boundaries, accommodation rules, local laws and reasonable facilitator directions. Threatening, abusive, discriminatory, harassing, seriously disruptive or unsafe behaviour; unauthorised recording; serious confidentiality breaches; or misuse of materials may result in suspension or removal.
Except where immediate action is reasonably necessary, the concern will normally be discussed first. A participant removed for serious misconduct may be responsible for arranging and paying for alternative accommodation and travel, subject to applicable law. Any financial decision will be fair and proportionate; removal does not automatically forfeit every payment.
Programme materials remain the intellectual property of Free to Be SHE™ or the relevant owner and are for the enrolled participant's personal use. They must not be copied, taught, sold, published or distributed without written permission.
Free to Be SHE™ will not use an identifiable photograph, recording, testimonial or personal story for marketing without separate, explicit permission. Participants must not record private sessions or share another participant's information.
Raise any problem as soon as reasonably possible so Free to Be SHE™ or the relevant supplier can try to put it right. Contact Toni Ann Martin or the named on-site facilitator during the retreat, or email info@freetobeshe.com.
If the problem is not resolved, send a written complaint with relevant details promptly. Free to Be SHE™ will investigate and respond in writing.
Any refund due will be made to the original payment method without a processing fee and within the period required by applicable law. Where no shorter mandatory period applies, Free to Be SHE™ will normally process an agreed refund within 14 days.
Nothing in these terms excludes liability that cannot legally be excluded, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or mandatory consumer and travel rights.
Nothing in this document limits any right under the Consumer Rights Act 2015, the Consumer Contracts Regulations 2013, the Package Travel and Linked Travel Arrangements Regulations 2018 where applicable, or any other binding law.
