Your contract is with Free to Be SHE™. A place is confirmed only when your application or suitability process (if required) has been completed, you have accepted the place and these terms, and cleared deposit payment has been received.
The booking is personal to the named participant. The immersive is educational and personal-development focused. It is not psychotherapy, psychiatric or medical treatment, crisis intervention, diagnosis, or a substitute for appropriate professional care.
The programme price includes the items described in the booking confirmation and sales information, expected to include:
Unless expressly stated in writing, the price does not include travel to or from the venue, additional food or drinks, personal expenses, optional extras, travel insurance, medical costs, or additional accommodation.
The total price is £1,995 per participant (residential) or £1,500 per participant (non-residential). A deposit of 50% is payable when the booking is accepted — £997.50 for residential, £750 for non-residential. The remaining balance is due no later than 30 calendar days before the immersive begins.
The deposit secures a limited place and allows accommodation (where applicable), facilitation, catering and activity arrangements to be made. It is an advance payment, not an automatically non-refundable penalty. Any amount retained following cancellation will be calculated fairly under Section 7 by reference to services supplied and genuine unrecoverable losses.
If a booking is made 30 days or fewer before the start date, the full price is due when the place is accepted unless Free to Be SHE™ agrees otherwise in writing.
If the balance is not paid by the deadline, Free to Be SHE™ will contact you and allow a reasonable opportunity to resolve the payment. If it remains unpaid, the booking may be treated as cancelled by you. Any amount retained or remaining due will still be assessed fairly under Section 7 and will not automatically equal the whole contract price.
Please contact Free to Be SHE™ promptly if an unexpected difficulty affects payment. Any revised arrangement must be agreed in writing.
If you book online, by telephone or away from Free to Be SHE™ business premises, you will normally have 14 days after the day the contract is entered into to cancel without giving a reason.
To cancel, email a clear statement to info@freetobeshe.com. You may use the model cancellation form at the end, but you do not have to.
If you cancel within this period before any requested service begins, all payments will be refunded. If you expressly ask for onboarding, preparation, assessment, digital content or another service to begin during the cooling-off period, a fair proportion may be charged for services actually supplied, where the legal requirements have been met.
If paid digital content is supplied immediately, Free to Be SHE™ will request the express consent and acknowledgement required by law before supply begins. Immediate access will not remove rights relating to content that is faulty, misdescribed or otherwise non-compliant.
You may cancel at any time by emailing info@freetobeshe.com. Cancellation takes effect when clear written notice is received. The following scale is the maximum normally retained; Free to Be SHE™ will retain only the lower amount that fairly reflects its actual direct loss after taking reasonable steps to reduce that loss.

The calculation will consider: accommodation, catering, facilitator, venue, treatment and activity costs already committed and not reasonably recoverable; services and materials already supplied; the time remaining before the immersive and whether the place can reasonably be resold; costs avoided, supplier refunds obtained and income received from a replacement participant; and any other direct loss caused by the cancellation, without charging twice for the same loss.
If the fair amount due is less than you have paid, the difference will be refunded. A written explanation of the calculation will be provided on request.
You may ask to transfer your place to another woman. The replacement must apply or complete any required suitability process, accept these terms and the Participant Agreement, and be reasonably suitable for the group. Free to Be SHE™ will not refuse a suitable substitution unreasonably.
You remain responsible for the booking until the replacement has been accepted and all required payment arrangements are confirmed. A reasonable administration fee may be charged only where genuine additional costs arise.
Where illness, bereavement or another significant unexpected circumstance prevents attendance, Free to Be SHE™ may offer one transfer to the next suitable 3-Day Immersive as an alternative to cancellation, subject to availability and written agreement.
A transfer is not automatic and does not remove any cash-refund right that applies by law. Fees already paid will be credited to the replacement booking. Unless agreed otherwise, a transferred place cannot be transferred repeatedly or converted into credit for a different service.
Serious illness, bereavement or another significant and unexpected event will be considered sensitively and individually. Depending on timing, costs already committed and availability, options may include substitution, transfer, partial refund or another fair arrangement. Travel insurance should be used for insured losses.
You are responsible for arranging and paying for travel to and from the venue unless the booking confirmation expressly includes it. Free to Be SHE™ strongly recommends suitable UK travel insurance from the date of booking, covering cancellation, illness, personal belongings, travel disruption and any activities you intend to undertake.
You must provide relevant information reasonably needed to assess suitability, accessibility, dietary requirements and safe participation. Tell Free to Be SHE™ promptly of material changes before the immersive.
Participation in any treatment, movement, breathwork or other activity is voluntary. Free to Be SHE™ will consider reasonable adjustments but cannot promise adjustments that are unknown, impossible at the venue or would fundamentally alter the programme.
Accommodation type, occupancy and facilities (residential format) will be as described in the confirmation, subject to reasonable equivalent changes. Dietary information will be passed to relevant suppliers and reasonable efforts made to accommodate confirmed requirements. Free to Be SHE™ cannot guarantee an allergen-free environment unless expressly agreed in writing.
Reasonable minor changes may be made to timings, teaching order, practitioners, treatments, activities, menus or accommodation arrangements where necessary. If a significant change materially alters the main characteristics of the immersive, you will be offered an appropriate remedy. You will not be required to accept a materially different replacement.
Free to Be SHE™ may reschedule or cancel because of insufficient participant numbers (fewer than 12), facilitator illness, venue failure, safety concerns or events outside reasonable control. Any minimum-number cancellation will be communicated where possible no later than 30 days before the start date.
If the immersive is cancelled by Free to Be SHE™, you may choose a full refund of programme payments made or a transfer to an alternative date.
If events such as severe weather, government restrictions, venue closure, public-health measures or major transport disruption materially affect performance, Free to Be SHE™ will take reasonable steps to provide an alternative, reschedule or make a fair refund for services not supplied.
If the booking legally qualifies as a package under the Package Travel and Linked Travel Arrangements Regulations 2018, all mandatory package-travel information, assistance, cancellation, refund and insolvency-protection rights will apply and take priority over any inconsistent wording here.
No refund will normally be due where a participant does not attend, arrives late, misses part of the programme, chooses not to use an included service, or leaves early for reasons not caused by Free to Be SHE™. Statutory remedies remain available if included services are not supplied as agreed or without reasonable care and skill.
Participants must respect confidentiality, privacy, consent, personal boundaries, venue rules and reasonable facilitator directions. Threatening, abusive, discriminatory, harassing, seriously disruptive or unsafe behaviour; unauthorised recording; serious confidentiality breaches; or misuse of materials may result in suspension or removal. Removal does not automatically forfeit every payment.
Programme materials remain the intellectual property of Free to Be SHE™ and are for the enrolled participant's personal use. Free to Be SHE™ will not use a participant's identifiable photograph, recording, testimonial or personal story for marketing without separate, explicit permission.
Raise any problem as soon as reasonably possible so Free to Be SHE™ or the venue can try to put it right. Contact Toni Ann Martin or the named on-site facilitator during the immersive, or email info@freetobeshe.com.
Any refund due will normally be made to the original payment method within 14 days of agreement or the date required by law, without a refund-processing fee.
Nothing in these terms excludes liability that cannot legally be excluded, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or mandatory consumer rights.
